Finance Assistant

Since 1996, The Essex National Heritage Commission (Essex Heritage) has championed the heritage development of Essex County by fostering public-private partnerships that preserve and enhance the significant aspects of the region’s history, cultural heritage, and character.

The Finance Assistant role at Essex Heritage processes the incoming and outgoing financial transactions for the organization and performs administrative office functions under the direction of the Finance Manager.   The position is a part-time role 24-28 hours per week.


Responsibilities Include:

  • Processing incoming bills and paying outgoing bills in a timely manner

  • Monitoring bank balances, handling bank deposits and reconciling multiple bank accounts monthly

  • Entering credit card transactions and collecting support for each transaction

  • Ensuring appropriate approvals in place for all financial transactions and balance transfers

  • Entering membership and donations into QuickBooks and into Customer Relations Management software (CRM)

  • Administrative tasks related to grants awarded by Essex Heritage

  • Creating and retaining accurate records of all financial transactions including copies of all checks and bills processed

  • Assisting with bi-weekly payroll processing, including tracking of benefit deductions and employer contributions and matches

  • Assisting with correspondence, secretarial tasks, ordering of office supplies, contact for office equipment/maintenance


Skills and Experience:

  • Extensive experience with QuickBooks required

  • Experience with donor/member databases or CRM software required

  • Experience working for a non-profit preferred

  • Experience processing financial data required, such as payroll, accounts payable/receivable or banking experience

  • Strong sense of organization and motivation paired with strong financial skills

  • Exceptional attention to detail

  • Integrity, respectfulness, trustworthiness and reliability

  • Excellent written and verbal communication skills

  • Positive, helpful, and collaborative demeanor

  • Ability to make good judgments and avoid risks to the organization

  • Interest in Essex Heritage’s mission a plus
